Troop 891 Chicken BBQ Fundraiser Procedure

1.     Set date, 2 months in advance or more.

Make certain this date does not conflict with BAUMC BBQ.
Call to ask permission to use parking lot.
Contact BAUMC Mens Club and seek permission to borrow cookers.

2.     Work with an adult to order chicken and supplies.

Order chickens from the Chicken House.  One week advance notice is enough.
We usually order 250 3-3.25 lb. Birds, split in halves.  Splitting is free to Scouts.
Shop for supplies at Sam’s or Costco (below).

3.     Prepare Sign-Up Form (Click here for form as a Word .DOC, or as an Acrobat .PDF)

Find an adult volunteer with a trailer hitch and trailer
Schedule the Scout BBQ Coordinator or SPL to be present at all times during set-up through take-down.
Try to be fair when scheduling Scouts for work shifts.  Make sure all who want to work get an even amount of hours.  Try to encourage older Scouts help with set-up/cleanup/takedown as these shifts require extra labor.

4.     Friday

Scout leader keeps record of who worked when, ask all Scouts to sign in and sign out.
Borrow coolers and tables.  Transport to Books A Million.
Transport Cookers to Books A Million.
Have an adult with van/pickup truck/trailer and 2-3 Scouts meet at Shed 30 minutes early to pick-up tent, stakes, poles, signs. Propane, stove, water heating pots.
Have 4-6 Scouts meet at Books A Million, with at least one experienced Scout set up Troop Tent, before dark

5.     Saturday

Scout leader keeps record of who worked when, ask all Scouts to sign in and sign out.
6:00AM: Start charcoal and get cookers hot.
7AM:  Set up tables and prep area, set up signs and deliver flyers to auto dealerships, etc.
10 – 4:  Help, clean, wrap chickens, sell, advertise.
4PM:  Start take down when appropriate, clean cookers, take down signs and all tables/equipment/tent.  Pack and return items to proper place.

Check in shed or closet in Fellowship Hall for supplies left from the last event before you buy more!!

18 bags charcoal
6 gallons BBQ Sauce
500 dinner rolls
6-10 cases of name brand soft drinks in 12 oz cans
Ice
2 whole rolls Heavy aluminum foil
4 rolls paper towels
2 boxes food handling gloves
6 pair Heavy Rubber gloves
4 BBQ mops
Dish detergent
Water carriers
Coleman Stove
Propane/hose
T shirt bags
500 “To Go” boxes
4 large coolers
4 drink buckets, or coolers
